AT A GLANCE
Choose intervals for actual use, staffing and your approved cleaning programme.
Name the person responsible and record when each round was completed.
Give missed areas, damage and restricted spaces an owner and next review time.
USE THE TEMPLATE
Set frequencies for your club's use and approved procedures. Follow product labels, safety data sheets and equipment instructions. Use your trained response process for spills, body fluids or hazardous materials.
RELATED WORKFLOWS
A cleaning record helps with handover. Managers also need a way to review repeated misses and route damage into corrective work.

Open pageSETTING FREQUENCIES
A busy weekday evening and a quiet weekend afternoon rarely need the same routine. Plan frequencies area by area, then check them against completion records and member feedback.
SHARED RESPONSIBILITY
Many clubs ask members to wipe equipment after use. That helps, but it does not replace a staff routine. Decide what members are asked to do, what staff must still complete and how supplies stay available.
COMMON GAPS
Cleaning problems usually come from unclear ownership rather than unwillingness. Look for these patterns when reviewing completion records.
PRACTICAL CHECKLIST
This operational guide is a starting point. Your approved procedures, leases, manufacturer instructions and legal duties remain the source of truth.
STRAIGHT ANSWERS
Set the schedule from your approved procedures, footfall, facilities, surface types and product instructions. This template gives a structure for shift routines; it does not prescribe one interval for every gym.
The download is a printable PDF. Add location-specific instructions and frequencies in the blank fields, or use the on-page checklist as the starting point for your own approved document.
No. It is an operational planning and completion aid. Your approved cleaning programme and the relevant product and equipment instructions determine the work.
Areas and tasks that daily rounds cannot reach properly, such as under and behind equipment, vents, high surfaces, grout and upholstery, completed under your approved programme and product instructions. Record when each area was last done.
Keep the record simple: the round, the time, who completed it and any exception. Detailed notes are most useful when something was missed, damaged or needs follow-up.
Usually, yes. Cleaning records show that a routine was completed. Damage found while cleaning should become a maintenance fault with its own owner so it is not lost in the cleaning log.
