AT A GLANCE

Built around accountable follow-through.

Register

Asset, category, club, zone, serial number, supplier, purchase date and cost for every item. Identical machines get a row each so their histories stay separate.

Service log

Every service, repair and inspection with supplier, reference, cost and who returned the item to service. Pick the asset ID and the rest fills in.

Summary

Assets, purchase cost, current value and 12 months of service spend by club and by category, plus a five-year replacement forecast.

WHAT IT WORKS OUT FOR YOU

The grey columns do the arithmetic.

Enter what you know about each machine. The register calculates the rest every time the file opens.

DEFAULTS YOU CAN CHANGE

Sensible starting points for gym equipment.

Each category comes with a default useful life and service interval, such as seven years and quarterly servicing for cardio, or fifteen years and yearly checks for racks and benches. They are planning estimates for commercial use, not ATO effective lives. Change them on the Lists sheet to match the manufacturer's instructions and your own experience, and use your accountant's figures for tax.

WITH CLUBPILOT

Same column names as a ClubPilot maintenance job.

Club, asset, serial number, supplier, supplier reference, actual cost and job number use the names ClubPilot uses, so you can copy details across when you log a fault. In ClubPilot each job keeps its photos, quotes, approvals, supplier hand-off and completion evidence together, across every club.

WHEN A SPREADSHEET STOPS WORKING

Where registers usually drift.

A register is only as good as its last update. These are the gaps to watch for as the group grows.

STRAIGHT ANSWERS

Gym equipment register: questions worth asking.

What should a gym equipment register include?

At minimum: a unique asset ID, what the item is, its category, club and location, serial number, supplier, purchase date and cost, status, warranty expiry, service interval and the last service and inspection dates. This template includes all of these, plus calculated value, due dates and flags.

Does it work in Google Sheets?

Yes. Upload the file to Google Drive and open it with Google Sheets. The formulas, dropdowns and colour flags all work there.

Is the written-down value right for my tax return?

No. It is an estimate as at today for insurance and replacement planning. Tax depreciation depends on ATO rules and your circumstances, so use your accountant's figures.

Should identical machines share a row?

Give each machine its own row and asset ID. Two treadmills bought on the same day will still have different faults, services and replacement dates.

Can I use it for more than one club?

Yes. Type your club names on the Lists sheet. They become the Club dropdown, and the Summary shows assets, value, service spend and items needing attention for each club.
